How we cut invoice processing from 2 days to 10 minutes

A finance team was buried in manual data entry. We built an AI pipeline that reads, categorizes, and logs invoices automatically.

A growing e-commerce brand with over 200 suppliers was processing invoices manually. Their finance team of three spent nearly two full days every week opening PDFs, extracting line items, matching them against purchase orders, and entering data into QuickBooks. It was tedious, error-prone, and unsustainable.

We built an AI-powered invoice pipeline using Claude's vision capabilities. Invoices arrive via email, get parsed automatically, and the extracted data is matched against existing purchase orders in their system. Discrepancies are flagged for human review while clean matches flow straight into QuickBooks.

Handling the Variety

The tricky part was handling the variety. These 200+ suppliers each had different invoice formats — some were clean PDFs, others were scanned images, and a few still sent paper invoices that needed to be photographed. Claude's multimodal capabilities handled all of these with remarkable accuracy after we fine-tuned our prompts.

We added a confidence scoring system so the team could focus their attention on the invoices that actually needed human judgment. High-confidence extractions (about 85% of all invoices) are processed automatically. Medium-confidence ones get a quick human review. Low-confidence ones are flagged for full manual processing.

The Impact

After two months in production, the results speak for themselves: processing time dropped from 16 hours per week to about 90 minutes, data entry errors fell by 94%, and the finance team now spends their time on analysis and forecasting instead of copying numbers between screens.
